Grant Golf Board June Minutes

Grant Golf Board
Regular Meeting
June 25, 2008

The regular meeting of the Grant Golf Board was called to order by President Kevin Poppe at 8pm. Attending were board members: Jim Kemling, Tim Meyer, and Jarod Burge. Also in attendance was Course Superintendent, Shawn Stutzman. Two other board members, Jorje Geisert, and Ryan Richmond, arrived at 8:10 pm and 8:30 pm respectively. The meeting was held at the Grant Golf Course Club House.

Business Conducted:

• The minutes of the previous meeting were reviewed.

• Jim presented the Monthly Financial Report See Attached.


• Shawn presented the Superintendent’s Report. See Attached.
Comments/Discussion of Report:
The board directed Shawn to obtain an estimate amount
that would be needed to repair the second mower. If
reasonable, the board would like this mower repaired.

It was decided to let the pond dry up and try to retrieve
donated material for the liner. It is hoped that this
can be done this weekend.

Yardage measurements will be done so work on a
reconfiguration of the red tees, to include another
par three and par five, can be considered. Also,
lengthening the blue tee box on #6 is being
discussed.

Shawn also mentioned that he will try to email the
board updates regarding repairs, sprinkler issues, watering,
mowing, etc so the board has the necessary information
to respond to the membership’s concerns.

• Jarod reported on the Men’s League. There are 23 teams playing, including the high school team. This fall the board will review the policy of young men playing in the league. Jarod mentioned that the on-line scoring is very helpful and organized. Another issue for review this fall will be the possibility of restricting the number of teams in the league, or other options, such as playing more than one night a week or using a bye week system. Any ideas would be welcomed.

• Tim gave a report from the tournament committee. He would like to find a different date for the Benchwarmer’s Tournament for next year to allow for a greater number of entrants. The couples’ tournament that was held on June 22, 2008 was very successful, with 15 teams (60 people) playing. Regarding the Club Championship Tournament that is scheduled for July 20th, Ryan ( the tournament director) asked for input about making this an open tournament to attract more people. The board agreed that Ryan can pursue any format he feels will work.


UNFINISHED BUSINESS:

• The Schmitt stall, which is prepaid until 2012, is being occupied. The family will leave their cart in this stall.

• At this time, the cart path construction on #8 will temporarily cease, and the forms pulled up and the ground leveled and everything cleaned up. When more funds become available, the project will continue in the fall.

• The Family Driving Range Yearly Pass will be tabled until next spring.

• The Chamber After Five held at the Grant Golf Course on May 16, 2008 was well attended and enjoyed by all. Kevin submitted an invoice to Great Plains for their portion of the sponsorship. Payment is expected shortly.

• According to Shawn, there is an adequate supply of scorecards to last through this season. This will allow the board to finalize plans for changing yardages, contacting the advertisers, and researching different styles of cards that scores the entire 18 on one line without folding the card back.

• The lean-to portion of the clubhouse was painted to match the rest of the inside by Connie. It looks very nice and clean.

• It has been suggested that the east side roof of the club house could be inexpensively done with steel roofing. This project and discussion will remain as “in consideration” as the board deliberates repair or rebuild of the clubhouse.

• New clubhouse update:

Jim, Tim, and Jarod will form a Finance Committee to explore funding options.
Ryan, Kevin, Jorje, and Shawn will form a Structure Committee to investigate floor plans, cost, etc. Both committees will meet in a special meeting to be held July 16, 2008 at 8pm at the Clubhouse. City Superintendent, Tyson McGreer will also be invited to attend.


NEW BUSINESS:


• Ryan made all the necessary arrangements for on-line banking for the Golf Course Account. He presented all the passwords and user ids to Jim.

• Ryan made a motion to allow pro-rating of membership dues one time only to a new member that would be joining sometime after the spring membership deadline. The dues would be divided by seven ( the number of golfing months) and November would be considered the last month. The discussion that followed indicated that this would possibly attract new members that move to Grant later in the summer. Jarod seconded this motion and the membership approved by voting aye.

• Kevin reviewed the results of the online survey that was sent to existing and previous board members. There was good feed back from this survey. The board and superintendent will follow up on areas that are indicated that could be better. Another survey will be sent later in the year to see if there is improvement.

• One member has been a bit frustrated with his cart stall assignment. Shawn will look into the matter and make sure this member has a permanent stall space.

• The board has authorized Shawn to post signs reminding the membership that there can only be four persons on each hole during the weekends. The board will support the superintendent with the enforcement of this policy.

• The clubhouse hours are 10am to 6pm. Shawn will make arrangements to open the clubhouse earlier on Tuesday mornings for the ladies’ league. There are several people who will be staffing the clubhouse. Each staffer will be educated and reminded that only persons 19 or older can sell alcoholic beverages.

• The next regular meeting will be July 23, 2008, at 8pm at the Grant Golf Course.

• The meeting was adjourned at 10:30 pm.

Scoring for Week 6 and Handicaps for Week 7 (June 29) have been updated on the Men's League page. After this week we'll be half done with the schedule. Time to start getting locked in. Put those new range balls to good use!

May Board Minutes

The regular meeting of the Grant Golf Board began at 8:35 pm at the home of Jorje Geisert. Present were board members Jim Kemling, Tim Meyer, Ryan Richmond, Kevin Poppe, Jorje Geisert, and Jarod Burge and Course Superintendent Shawn Stutzman.

Business Conducted:

• The meeting was called to order by President Kevin Poppe. The minutes of the previous meeting were read.

• The financial report was presented by Jim, who has accepted the position of Treasurer for the year.

Ryan was elected to this position, but due to professional advancement, he was unable to fulfill the duties. By a vote via e-mail of the board earlier in the month, Jim was elected.

Comments/ Discussion:

The prepaid golf stall program will expire in 2012. Leonard Schmitt, who passed away earlier this year was a participant in this program. Jim will contact Leonard’s son, David, and ask him if he wants to leave the money ($200) with the club, or if the family has a use for the stall.

At this time, $900 has been donated for the cart path concrete for #8.

Shawn has requested a list of those who have Driving Range Yearly Passes. He will monitor the use by families. The board might consider a different fee schedule for next season that would have a higher rate for families.

The pond construction is within budget at this time.

Tim Meyer, in conjunction with Deaver Computer, has donated a computer for the club house to use for handicapping, tournaments, and league play. It should be up and running this week. Kevin will inquire the rate for internet access. We would then be able to post scores and other information on the web site of http://grantgolfclub.blogspot.com.



• The superintendent report was given by Shawn, and included:
Grass and sod progress on #3
All rough has been mowed
Weeds will be sprayed 5/15/08, weather permitting.
Tee boxes are being mowed consistently
Holes are filled in on #8
A recommendation to fill pond, which the board agreed to
Possibly changing #4 to a par 3 by moving the tee box, and making #9 a par 5 from the reds
Plugging the greens on Monday, May 19th and using volunteer help

• The Men’s League Director, Jarod Burge, announced that the field was full with 22 teams. This is the maximum number that can be handled in a timely manner on Thursday evening. Because the field is full, the team of high school boys who inquired about playing will not be able to enter this year. Jarod will post a list of possible substitutes on the website.

• Tournament Director, Tim Meyer announced that the Par 3 was a success, even though the weather was less than perfect. He would recommend moving the date up a week next year. There are two tournaments in the next three weeks.

• The Chamber After Five will be held at the Grant Golf Course Clubhouse this Friday. This event will be sponsored by the Grant Golf Club, Shawn Stutzman, and Great Plains Communications. Shawn and his staff will be serving hot dogs and the coolers will stocked with complimentary beverages. There will be putting and chipping contests and other activities, and the board members will be on hand to take guests around the course to see the many new improvements. Expenses will be shared by the sponsors.

• A preliminary time line was formed for the funding and construction of a new clubhouse. The board members will measure the property this week to define the dimensions, and then each member can do research to come up with potential design ideas. These will be presented at the June board meeting. Final design plans will be submitted by the July meeting and cost projections and possible bids will be due by August 1st. Construction will begin on September 1st, with work progressing through the winter. The new clubhouse would be available to the membership by April 1, 2009.

• There has been a request to rent the clubhouse for a private party. The board authorized Shawn to use his discretion as to rental price and availability.

• Jarod made a motion and Tim seconded the motion to purchase 1000 yellow range balls. Motion carried.

• Shawn will continue to work on the scorecards.

• Jorje requested that the interior of lean-to side of the clubhouse be painted to match the painting (white) that was done to the rest of the clubhouse last year. Connie will be asked if she would do this.

• An estimate of the cost of steel roofing for the east side of the clubhouse will be sought. Board members will measure the portion of the roof in need of covering, and ask Petty and Adam’s for a price. After this information is available, the board will decide what options to pursue.

• Adjournment: with no further business, the board adjourned at 10:30 pm.

Men's Leage Update through Week 5 (6/12)

Men's League results have been updated with scores through Week 5 (June 12). See the Men's League page at right for results and schedules.

Handicaps are also posted on the schedule for Week 6 - June 19. Results and schedules are also posted on the Men's League board in the clubhouse. Handicaps for the next week's match-ups will be posted on the board and we will also attempt to get them on the scorecards to be picked up in the clubhouse.

Remember, if your team is unable to play on the scheduled night, you have until the following Wednesday to make it up or be assigned a loss for that week.

Men's League Scores through Week 3 (5/29) Finalized

All scores for the first three weeks are now in and the results have been posted on the Men's League page (click the link at right). Handicaps for the first three weeks have been calculated so scores may have changed from the first week. Those scores are also used for the handicaps in Week 4 and handicaps will be on a rolling three week timeframe for the rest of the season.

On the Men's League page, please note that the points are at the top of the first page, the scores shot are below the points and the handicaps are at the bottom. In the bottom, left-hand corner there are three tabs. You start on the "Scores" tab but if you click on the "Weeks" tab you can see results of matches for each week. Also, if you click on the "Teams" tab, you can see all matches for each team for the year.

Men's League Catching Up

Due to the weather, several teams are still trying to get in thier matches from the last two weeks. We should have updated results shortly.
